How to Analyse Tally Data with Excel: A Practical Guide
Learn how to export Tally data to Excel, clean reports, build P&L and receivables ageing views, create MIS reports and turn data into dashboards.

Most Indian businesses keep their books in Tally. When the owner or CFO asks, "How did we do this month?" or "Who still owes us money?", the answer usually ends up in Excel. Tally holds the data. Excel is where people turn it into a report.
To analyse Tally data in Excel, open the report in TallyPrime, export it as an Excel (.xlsx) file, remove the extra header and total rows, turn the data into an Excel table, and then build two views from it: a monthly profit and loss (P&L) and a receivables ageing. Save that file as a template so next month takes minutes, not hours.
Which Tally Reports Should You Export?
You do not need to export everything. For a monthly management report, three Tally reports cover almost every question.
| Tally report | How to open it in TallyPrime | What it answers in Excel |
|---|---|---|
| Profit & Loss A/c | Gateway of Tally > Profit & Loss A/c (or Alt+G and type the name) | Are we making money? Which costs are rising? |
| Bills Receivable | Gateway of Tally > Display More Reports > Statements of Accounts > Outstandings | Who owes us, how much, and for how long? |
| Sales Register | Alt+G > Sales Register | Which months, customers, and products drive sales? |
This guide focuses on the first two, because the P&L and receivables are the views a management team looks at first.
Step 1: Export the Report from Tally to Excel
Before you export, set the report up in Tally the way you want it. Two settings save a lot of work later:
- For the P&L: press F2 to set the period (for example, 1 April to 30 September), then press Alt+N (Auto Column) and choose Monthly. You get one column per month, already split for Excel. Alt+F5 shows each ledger. See Tally's Profit and Loss help page.
- For receivables: open Bills Receivable and press F6 to choose ageing by bill date or by due date. The default buckets are 0 to 45, 45 to 90, 90 to 180, and over 180 days. See Tally's guide to outstandings for the full list of options.
Then export:
- With the report open, press Alt+E (Export) and choose Current. (Ctrl+E is a shortcut for the same thing.)
- Press C to configure. Set File Format to Excel (Spreadsheet), choose the folder and file name, and set Open file after export to Yes.
- Press E to export. The file opens in Excel.
Tally's own export help page lists every format it supports, including PDF, XML and JSON. If you see "Unable to export the Excel file", close any copy of that file that is already open in Excel and try again.
Step 2: Clean the Exported File
A Tally export is made for printing, not analysis. Expect a company header, blank rows, group totals, and amounts stored as text.
| What you see in the export | Why it is a problem | How to fix it in Excel |
|---|---|---|
| Company name, address, and report title in the first rows | Excel cannot tell where the data starts | Delete the rows above the column headings |
| Group totals mixed in with ledger rows (for example "Indirect Expenses" plus each expense under it) | Totals get counted twice when you add things up | Add a "Type" column marking each row as Group or Ledger, then filter to Ledger rows only |
| Blank rows between sections | Breaks sorting, filters and tables | Filter the first column for blanks and delete those rows |
| Amounts stored as text, or with "Dr" and "Cr" after them | SUM returns 0 or the wrong total | Use Find and Replace to remove " Dr" and " Cr", then Data > Text to Columns to turn the text into numbers. Keep a sign column if you need it |
| Extra spaces in ledger or party names | "ABC Traders" and "ABC Traders " count as two customers | Use =TRIM() in a helper column, then paste the values back |
See Excel's guide to the top ways to clean your data. To remove repeated party rows, use Data > Remove Duplicates, explained on Excel's page on finding and removing duplicates.
Step 3: Turn the Data into an Excel Table
Click anywhere in the cleaned data and press Ctrl+T. Tick "My table has headers" and give the table a short name, such as PL_Data or Receivables, on the Table Design tab.
A table grows automatically when you paste next month's data below it, and every formula and chart that points at the table updates with it. Microsoft's page on creating and formatting tables shows the options.
Step 4: Build the Monthly P&L View
Management rarely wants every ledger. They want five lines, month by month, and two percentages. Group your Tally ledgers into these lines with a small mapping column (for example, every ledger under Direct Expenses maps to "Direct costs").
Here is what the finished view looks like. The figures below are an example only.
| Line (₹ lakh) | July | August | September | Change vs August |
|---|---|---|---|---|
| Revenue | 42.0 | 45.5 | 48.2 | +5.9% |
| Direct costs | 27.3 | 29.1 | 31.6 | +8.6% |
| Gross profit | 14.7 | 16.4 | 16.6 | +1.2% |
| Indirect expenses | 9.8 | 10.1 | 10.4 | +3.0% |
| Net profit | 4.9 | 6.3 | 6.2 | -1.6% |
| Gross margin | 35.0% | 36.0% | 34.4% | -1.6 pts |
| Net margin | 11.7% | 13.8% | 12.9% | -0.9 pts |
Revenue grew, but direct costs grew faster, so net profit dipped slightly. That is the line management will ask about.
To fill each cell from the table, use SUMIFS. For example, if your table has columns Line, Month, and Amount:
=SUMIFS(PL_Data[Amount], PL_Data[Line], "Revenue", PL_Data[Month], "Sep")
Microsoft's SUMIFS help page explains how to add more conditions, such as a branch or cost centre.
Step 5: Build the Receivables Ageing View
The second view answers the question every business owner in India asks: who owes us money, and how old is it? Use the Bills Receivable export with the ageing buckets you set in Step 1.
| Customer | 0–45 days | 45–90 days | 90–180 days | Over 180 days | Total (₹ lakh) |
|---|---|---|---|---|---|
| Customer A | 3.2 | 1.1 | 0.0 | 0.0 | 4.3 |
| Customer B | 1.8 | 2.4 | 1.6 | 0.0 | 5.8 |
| Customer C | 0.9 | 0.0 | 0.7 | 1.2 | 2.8 |
| All customers | 12.6 | 6.9 | 3.4 | 1.9 | 24.8 |
Example figures only. Three additions make this view useful in a meeting:
- Top 10 by amount. Sort by Total and keep the ten largest. In most businesses, a handful of customers hold most of the money.
- Colour the old money. Use conditional formatting to shade the 90 to 180 and over 180 day columns, so the risky amounts stand out at a glance.
- Debtor days (DSO). Receivables ÷ sales for the period × number of days. ₹24.8 lakh outstanding on ₹48.2 lakh of monthly sales is about 15 days. If it keeps rising, collections are slowing.
Step 6: Put It on One Page for Management
Create a new sheet called MIS and keep it to one screen:
- A row of four numbers at the top: revenue, net profit, net margin, and total receivables, each with the change from last month.
- A line or column chart of revenue and net profit by month. Microsoft's guide to creating a chart covers the steps.
- The receivables ageing table, top 10 customers only.
- Three short notes in plain words: what went up, what went down, and what needs action.
For more on layout and sections, see our guide on the MIS report format in Excel.
Common Mistakes When Analysing Tally Data
- Counting totals twice. Tally exports group totals and ledgers together. Always filter to ledger rows before you add up.
- Mixing periods. Exporting one report up to 30 September and another up to today. Set the same period with F2 on every report.
- Ignoring Dr and Cr. A credit balance on a customer is an advance, not money owed. Keep the sign.
The Faster Way: From Tally Export to Dashboard with Nixorra
Even with a good template, the export, clean, check, and chart routine repeats every month, and the written commentary is the part that gets rushed.
Nixorra is an AI business intelligence platform that turns Excel and CSV files into interactive BI dashboards, visual stories, and AI analyst reports in about a minute. It works with the same Excel file you export from Tally.
- Export and clean the report from Tally as in Steps 1 and 2, and save it as .xlsx or .csv (up to 20 MB per file).
- Upload it to Nixorra.
- Choose how to build: AI Visual picks the right charts for your data, or Manual Visual lets you choose the columns and chart views yourself, such as revenue by month or receivables by customer.
- Present and explain: filter by month or customer, walk through the charts in Visual Story or Presentation View, and get an AI Analyst Report with key findings, risks, and recommended next steps. Download it as a PDF.
Nixorra also spots seasonality and compares periods, so a normal slow month is not mistaken for a problem. Your raw rows are never sent to AI; it only receives column summaries and the chart totals Nixorra calculates, and you can delete your dataset at any time.
See how finance teams use it on our financial dashboard software page. To try it on your own Tally export, the one-time ₹99 Manual Credits pack gives you 10 BI dashboards, 10 visual stories and 10 presentation views with no subscription. Full details are on the Nixorra pricing page.
Conclusion
Analysing Tally data in Excel comes down to six steps: export the right report, clean it, turn it into a table, build the P&L view, build the receivables view, and put both on one page. Save it as a template, and next month it takes minutes. When you want the charts and commentary done for you, upload the same file to Nixorra.
Frequently Asked Questions
Can I export Tally data to Excel?
Yes. In TallyPrime, open any report, press Alt+E and choose Current, press C to configure, set File Format to Excel (Spreadsheet), and press E to export. The file is saved as .xlsx and can be opened in Excel automatically.
How do I make MIS reports from Tally data?
Export the Profit & Loss A/c with monthly columns (Alt+N) and the Bills Receivable report with ageing (F6). Clean both in Excel and build a one-page MIS with key numbers, a trend chart, the ageing table, and short notes.
Why do Tally amounts show as text in Excel?
Exports often add "Dr" or "Cr" after amounts or keep them as text. Remove the Dr and Cr with Find and Replace, then use Data > Text to Columns to convert them to numbers. Keep a separate column for the sign if you need it.
How do I see receivables ageing from Tally in Excel?
Open Bills Receivable in TallyPrime, press F6 to choose ageing by bill date or due date, then export to Excel. The default buckets are 0 to 45, 45 to 90, 90 to 180 and over 180 days.
Can I turn a Tally report into a dashboard without Excel formulas?
Yes. Export the report from Tally as Excel or CSV and upload it to Nixorra. AI Visual picks suitable charts, or Manual Visual lets you choose them, and the AI Analyst Report explains the results. A one-time ₹99 pack covers 10 dashboards.
